Good to know before you book

Guest count first. The number of people you're inviting rules out half the rooms before you look at a single photo, so lock it down and only tour rooms that hold it. Region next, Nassau or Suffolk, close in or out east, because where the room sits decides how far your people have to travel. Setting after that, since a couple set on a vineyard will never be happy in a ballroom, and the reverse is just as true. Budget last, by price per head, so nothing you fall for turns out to be out of reach.

Catering halls, Gold Coast mansions, North Fork vineyards, waterfront rooms, country clubs, and the small spots for fifty will all sit in the same list, filtered down to the handful worth a Saturday tour, and every listing will give you the numbers up front: seats, location, whether the ceremony can happen on site, and the shape of the package.

Lock the number before you tour

A room has a count it was built for, and it is not the maximum on the brochure. Put 120 people in a room that holds 300 and the dance floor feels like a gym at a quarter capacity. Ask every venue what count the room feels best at, not what it legally holds. Remember the plate count is bigger than the guest list: the band eats, the photographer eats, and if the ceremony happens on site, the chairs for it come out of the same square footage the cocktail hour wanted.

How to tour three halls in one weekend

Book three tours in a weekend, four at the most, because after that the chandeliers blur together. Take the same six photos in every building: the entrance, the cocktail space, the dance floor from where the head table sits, the bridal suite, the bathrooms, and the parking. The bathrooms and the parking tell you how the place is really run. Ask who else is booked on your date, get every quote in writing broken out line by line, and then sleep on all of it, because a hall that pressures you to sign in the room is answering your most important question for you.
